Create one clear intake route
Ask occupants to describe the location, observed problem and impact on use. A photograph can help explain a visible issue if it can be taken safely. Keep each request in a simple record so updates are not lost across separate calls and messages. Record the person who reported it and the best contact for follow-up questions.
Identify responsibilities early
Clarify which matters belong to the owner, occupant, building management or specialist contractor under the relevant arrangements. Do not authorise work solely because a request has arrived. Where responsibility is unclear, seek clarification before committing to costs. Distinguish coordination of the request from authority to approve a repair or change the use of an area.
Coordinate access around operations
Discuss available appointment windows, visitor requirements and work restrictions with the occupant or building contact. Confirm what the contractor needs to inspect and who will provide access. Specialist safety and operational requirements must be determined by qualified people. Keep those requirements with the appointment details so the relevant contacts receive consistent information.
Make approval requests actionable
Present the observed issue, proposed work, estimate and expected disruption together. Record the owner’s decision and identify payment responsibilities. If the scope changes during the work, seek further approval under the agreed arrangement instead of treating the original estimate as unlimited authority. Make clear what is waiting for a decision and what has already been scheduled.
Close the communication loop
Obtain a progress or completion update and note remaining items. Share relevant invoices and warranty information with the responsible party. A completion message is not technical certification: required testing or specialist sign-off should come from the appropriate qualified provider. Keep recurring concerns visible so a new request is not considered without its earlier history.
