A well-lit contemporary residential space

Define the purpose of the arrangement

Begin with the support you need: condition updates, local appointment coordination, maintenance follow-up or communication with occupants. These are different activities, and each requires clear responsibilities. A written plan helps everyone understand what will happen and what remains with the owner. Start with current needs and review them if the property’s use changes.

Resolve access before scheduling

Identify who holds keys, whether building permission is needed and how appointments will be confirmed. Agree how access is recorded and who can attend. For occupied homes, coordinate suitable times with the occupant. Avoid assuming that a service provider has unrestricted permission to enter. Access arrangements should be explicit before a visit is booked.

Separate reporting from specialist assessment

A property update may describe a visible crack or damp area. It does not explain the underlying cause or certify the building’s condition. When a concern requires technical judgement, arrange an appropriate specialist and agree the assessment cost before proceeding. Keep that assessment with the property records so later decisions have the right context.

Keep tenancy coordination specific

Define how occupant requests reach the owner, which routine messages can be coordinated and when issues should be escalated. Rent follow-up, if agreed, is different from rent collection. Do not assume tenant placement, background verification or legal services are included in a general management arrangement. Discuss those needs separately with appropriate providers.

Review the scope as circumstances change

A move-out, extended vacancy or major repair can change the support a property needs. Revisit visit frequency, reporting and expenses when the use changes. Keep the agreed scope and subsequent changes alongside the property records. Confirm new responsibilities before asking someone to carry out work outside the existing arrangement.
